I tend to have a "never give up/you never know" kind of policy. I traditionally send mailings for 3-5 years before dropping people from mailing cycles. However, one year we were participating in a national march on Washington and I was asked to go back to 10 years worth of donors.

Had I used 5 years as my cutoff I would have had all of those people marked inactive and either a) told my boss "no, I can only mail 5 years worth" or b) ignore the inactive code which could also include people who wanted no further contact.

I started at my last job and found out that the interim VP of fundraising, who had no fundraising experience but was the VP of communications at the time, told the gift processor to mark every record who had not given in 2 years as inactive. I wanted to vomit. It was one place where I knew that there were not "haters" (like when I worked at Planned Parenthood) so I had to make the tough choice to remove the inactive checkbox from every record (moved it to an attribute of "formerly inactive" and mail to all of these people. I got not a single complaint, thankfully.

Even using the definition of "not responsive after X responses" is up for interpretation. What if a new fundraiser comes in and thinks that Z responses is a better timeframe. You can always query on number of appeals at any time and include/exclude from any particular mailing you want. No need to check the inactive code.

I see the inactive code as being something you use when you want to "remove" the record without acutally removing it. It is an overarching - all solicit codes... no contact... no phone calls... nothing - EVER. Anything else which would be a variable to include/exclude this record from mailings such as last gift date, gift size, number of appeals sent, etc. should not be a factor in your inactive coding, in my opinion.]]>

First, no organization should be transmitting MG Pledges to finance as actual pledges since the org has not committed the money - the form you get simply states that the donor has applied - no guarantee the company will pay - therefore it cannot be considered a Pledge in the financial sense. In this way your CFO is right.

Where your CFO is wrong is in that you should not be entering them at all. The primary reason MG pledges are separate from Pledges is that they are treated differently. You absolutely should be using the MG Pledge gift type so you can track the "potential revenue" we'll call it. You just DO NOT post it as a pledge in finance. You never even notify finance of it.

The first your finance department should hear about a MG is when the payment arrives. At that point it should be treated as an outright gift. If you post properly to Finance - all of this can be done in RE WITH using MG pledge gift types.]]>

Currently it is our policy to:
• Assign only one person in a couple if the couple have separate records. So the spouse does not get an actual assignment. Nor do they get proposals on the prospect tab.
• Assign the individual if they give through a family foundation or donor advised fund and NOT assign the foundation or DAF and proposals go on the individual
• Use pop up business rules to tell you when you have entered a record which is assigned to a prospect manager.

The problems we have include:
a) MGOs entering spouse records or foundation/DAF and, not seeing themselves assigned and no pop up, assigning or asking someone to assign them. This adds to their portfolio count which can be misleading to count a donor, their spouse, and their foundation all as separate prospects.
b) MGOs entering spouse records or foundation/DAF and, not seeing proposals and forgetting they did not get a pop up, adding proposals or asking someone to add a proposal. This really messes up reports since the ask amounts, etc. are now double counting two proposals when, in fact, only one ask is scheduled.
c) Unassigned foundations getting pulled into donor renewal mailings. I can pull spouses from the mailings by querying on whether the spouse has a PM, but I cannot do the same for foundation relationships. Every mailing, I need to check all organizations and be sure they are not connected to an assigned individual and if I find them, I add contact restriction attributes to the record. It is not a very efficient system.
d) When entering any of these records – it is not easy to figure out who is the prospect manager who is essentially responsible for the record, despite not counting it as a distinct prospect.

Do any of you have a system which helps with these issues?

I am considering creating a solicitor type to add to these additional records which “assigns” them to the PM but can be counted separately from the primary prospect relationship.

• Pros: fixes a) c) and d) from above and allows me to audit for when c) happens (no proposals should be on records without a primary PM relationship)
• Cons: requires as many as 3 (or more) relationships to be created to “assign” someone if they are married and give through a third party. Also unassignment or assignment changes require several updates to relationships. No good way to audit if staff are following proper procedures when they do this and we could be left with some “hanging chads”.

We are currently using ALTRU for online donations and memberships, but we have had very limited success using it for ticket sales and program registration. The last time we had a big event we used Eventbrite to register people online and it worked pretty well.

It seems like the big problems with online sales in ALTRU include recognizing member benefits and customizing confirmation emails. Anyone else have similar issues? What solution did you come up with?

One of the things we've seen the most improvement in is exporting constituent data based on an Action query. In RE what we do can take tens of hours, and impact performance for other users. I wrote some SQL for it, which does it in a few seconds, and no-one notices a thing (this is for exporting data).

I also have some figures compile each night, because once data changes you can't report on those figures ever again (without restoring a backup from the night you want to report on). These compilation processes only take a few seconds to run.]]>

Otherwise, you could also create a separate record for this record but it must have the name of the donor somewhere and should not just be "folklore" where when people leave it is unknown who this donor is. You may want to put it in a note with special note type with notepad security by type to only be seen by the head of the department (and anyone else who needs to be "in the know" but not all RE users).

Or even make is a separate record in the actual name of the donor and add a special constituent code and add security by constituency to that record. (this one is a bit trickier because I believe sometimes these records can still appear in queries and reports so you may want to look into that.]]>

I have seen where others create an "old appeal" appeal type of sorts as a catch all for all gifts entered from appeals that have already been inactivated.

I can say that either approach is ok but what I do not recommend is choosing an altogether different appeal that was sent more recently and attributing it to that one. You have no clue if the constituent even opened that appeal so do not give it credit - you would be invalidating any analysis or testing you are doing with that appeal.]]>

I have seen this happen before where, by accident, someone had set a 1 ticket limit on the form so the registrant just paid extra hoping that they'd realize they wanted two tickets. We have experienced both positive and negative moments.

Some positives:
Everything is on one system and it is easy. Someone in Education can sell a membership with a
summer camp and development does not need to enter it later. Because it is easy, training
is easy and that means we can cross train people to do many other tasks.

All our data is in one system. Now we are able to run metrics on visitor stats and members.
We can see what are donors and members are doing. This is actually very powerful and we can
now see trends on what events our members are coming to and so on.

It is a new system and Blackbaud actually listens. They are still developing the product so
as customers we get to see prototypes and give input. There is also an Altru community
that is a great resource. You can share ideas with other organizations and talk about
policies.

Membership reports are built in and completely amazing. RE was just horrible at this.

It is web based. That means I can access it anywhere and it can be portable.
Some Negatives:
No prospect management. There isn't a prospect module and action tracks do not exist.
There are interactions (which are basically actions).

There is no real mobile component. There are mobile queries and mobile checkins.

The online ticketing component is very basic.

The front desk is slow when the Museum is slow.

The merchandise component is still in beta.

I can definitely give you more details and some more specific details if you just want to send me a note.

Overall, we are happy we went this way. Despite sometimes being frustrating, we are happy with the data we are collecting and the ease of use. It is awesome to lookup a member at the front desk, register them for anything, and not have to link or update or connect the databases. Our Executive Director seems to love it so that is always a good thing!]]>

The Raiser’s Edge Screen is sitting and not moving on the Import saying Importing Data: Pass 1…
When I look at the 1st and 59,153rd records they have the data in there that I was Importing.

Did the nightly backups make hash of the Raiser’s Edge database with this Import running?]]>

We have a Giving History page at www.maf.org/mymaf/giving-history. There are 2 tabs for the 'Transaction Manager' part: <em>Active</em> and <em>History</em>. Is it possible to set it so that the <em>History</em> tab is the first one active? Or to just remove the <em>Active</em> tab all together?

I've used some jQuery (along with the cookies plugin) to activate it on the first visit, but we really have no need for the <em>Active</em> tab at all. Has anyone explored this with Blackbaud?]]>

By "hairy" I mean something like a Pledge that has multiple posted payments from a spouse, three different splits and maybe a write off for good measure. If you have one of those and two other simple cash gifts, might be easier to move them all to the destination and re-create the non-hairy records on the source constituent rather than manually recreating the "hairy" gift.]]>

Currently there is exporting and cutting and pasting going on which is never efficient. I expect there will need to be a new one for each event since table layouts are different at different events but that is at least only one time vs the number of times people re-create the layout and update RE as more people RSVP and needs change.
